Job Description

The Church Administrator is a critical role which manages the daily operations of the church and ensures the Mission and Values are followed.  The role reports to and supports the minister in managing church operations; is the staff person in charge of the church office, its publications and needs; and is responsible for various administrative duties. The Administrator represents the Church to visitors who drop by, and through mail and telephone inquires.  The Administrator is the executive secretary to the Minister. The Church Administrator reports to the Minister and, in the absence of the Minister, to the Chair of the Church Council. The Church Administrator acts as a team member along with the Minister, the Music Director, the Church School Coordinator, Care Team Coordinator, and the officers of the church, such as the Chair of the Church Council, the Vice Chair, the Treasurer, the Clerk and the Financial Secretary; and attends monthly staff team meetings.


Job Details

SCHEDULE: Full time, 35 – 40 hours per week

FRAMEWORK: The administrator shall acquire a working knowledge and be guided by the Church Mission and Values, By-Laws, routines and policies.  This position operates with a minimal level of supervision.  Information, decisions and reports generated by the administrator will be relied upon for accuracy and consistency.  The position is subject to an initial three month and six-month review, followed by annual reviews; however, the incumbent may request reviews at any time.

Qualifications

Education: Bachelor’s degree, or equivalent experience.

Ministry skills: Able to relate to people at some level of spirituality. The telephone is most often answered first in the church office, and so the Church Administrator becomes part of the “pastoral and/or “counseling” team. This position is part of the ministry of the church.

Attributes: Confidentiality assumed in all levels of work, cooperative, courteous, cordial, congenial, warm, gracious, patient, sensitive, helpful, dependable, professional, respectful, self-motivated. Exercises initiative, tact, discretion, and mature judgment. Team player.

Abilities: A church office is unlike other office settings, where interruptions are the rule, rather than the exception, therefore the following abilities are essential – to listen, work independently/with a minimum of supervision, organize and follow through on assignments, handle several tasks simultaneously, work calmly under stress, prioritize, adapt to change, get along with/relate well to many people, pay attention to detail/work with accuracy, work expediently.

Experience:  General administrative skills, high level of computer literacy (Microsoft Suite – Word, Excel, Access, Publisher, etc.), basic graphic design, online calendaring skills; website management skills and database skills.
